Discussion: Notes from the previous meeting of 7/23 were distributed. After
lengthy discussion regarding a proposed horse show at Parsons' property on
Friday, a pancake breakfast and parade Saturday morning near the Orange
Grove/Ina/Thornydale area, dance and fireworks Saturday night, and a
proposed Mariachi band/chili cook-off in Marana Park on Sunday, the
consensus of the committee members present was to refine the activity schedule
to more specific times and areas and have no activity on Friday.
Joe Parsons remarked that it would be difficult to hold a horse show during
specific hours, especially since there would be attendees coming from around the
state. His suggestion was to hold the horse show at his Marana property on
Saturday and Sunday, with no other specific event scheduled at that location (i.e.
dance, barbecue, Western crafts area). People who wanted to attend the horse
show as part of the Marana celebration could come and go as they pleased. He is
going to attempt to find a sponsor for this event at his property.
A suggestion was made to hold all activities on Saturday in south Marana, so
that people could stay in one location instead of traveling back and forth
between south Marana and north Marana.
It was suggested that one pancake breakfast be held, possibly at the parking lot
where the Marana annex is located. This would be sponsored by the Rotary or a
similar group. Tom Clark felt that most people would rather eat a pancake
breakfast put on by a local group rather than a McDonald's type pancake
breakfast. The committee members present concurred.
It was also suggested by Bobby Sutton that the parade route start at this location,
so that people at the pancake breakfast could look at the floats being prepared
for the parade route while they were eating. This still needs some planning, as
does the actual parade route. Lt. Bradshaw needs to give his input on this issue.
After a discussion about whether to have a western dance, a rock band or a
bluegrass band for the evening entertainment, Joe Parsons suggested that if we
got Sportspark involved, we could have different types of music at different
venues or locations around Sportspark, so that there was something for
everyone, and possibly arrange to have fireworks at the Sportspark that evening.
Bobby Sutton volunteered to work on this activity.
Jocelyn suggested getting businesses involved in the celebration (in addition to
running a float contest among businesses for the parade) by asking them to
participate in a give-away. Each store in the Ina/Thornydale/Orange Grove
area would be contacted regarding their participation. Any business wanting to
participate would having a drawing in their store during specific hours on the
day of the event. A name would be drawn by each store, and a gift or gift
certificate would be given to the winner of the drawing. Businesses participating
in this effort would be given mention in the Town's overall publicity campaign
for the event. Jocelyn and Bobby agreed to contact businesses.
It was suggested that Sunday be a picnic in the Marana Park, with games for
children and possibly things like a jumping castle. A strolling Mariachi band
might be contracted to provide music. The focus would be to honor people from
the Town who have been instrumental in its history as well as its growth. The
Mayor and Council would be introduced as well as other selected dignitaries. A
barbecue might be set up by another local organization (Kiwanis, Explorers, etc.)
to provide food and drinks. The Ramada should be completed by this time, and
the restrooms functional. A bandstand area would have to be set up, with PA
system. The theme of this event would be more country-style and laid-back -- a
day in the park with the family.
The consensus of the committee members present was that we need a definite
time schedule for events and committee members assigned to various events so
that working committees can get started.
A top priority is to get commitments for sponsor contributions so that the Town
can work with a budget in mind. Bobby Sutton felt that the Council would be
agreeable to providing necessary funding that was not obtained through
sponsors.
Committees for the event are: BUDGET, PUBLICITY/ADVERTISING, FOOD,
BUSINESS PARTICIPATION, FLOAT/PARADE, MUSIC, FIREWORKS,
PARKING/PARADE ROUTE/TRANSPORTATION/SAFETY. These
committees should be assigned at the 9/5/96 meeting
Melanie Larson brought designs for the 20th anniversary logo, but discussion on
that item was tabled until more members could be present.
It was decided to hold the anniversary committee meetings as needed, but at
least once a month on the first Thursday of each month at 6:00 p.m. at the Town
Hail.
Jocelyn will provide minutes/notes of each meeting, and Sandra Groseclose will
prepare and mail out the agendas prior to each meeting.
