DISCUSSION:
The following position was not included in the FY approved budget but is requested as a mid-
year allocation:
Courts - Court Clerk
Estimated fiscal impact of this request would be as follows:
Court Clerk: $25,876 Minimum + $7,763 Benefits + $5,600 Workstation = $39,239
Total Annual Cost for above position: $39,239
Fiscal Year Impact for the remainder ofthe year: $14,010
RECOMMENDATION
Staff recommends authorization to hire a Court Clerk, with an estimated fiscal impact of$14,01O
for the remainder of the fiscal year.

Court Clerk
(Eligible for Overtime)
Definition: Under immediate supervision, performs a variety of public contact and legal clerical work
following detailed procedures and instructions for the Municipal Court of Marana. Work is closely
monitored for adherence to the Court procedures, time frames and regulations by the Court Supervisor.
Essential Functions: (Essential functions, as defined under the Americans with Disabilities Act, may
include the following tasks, knowledge, skills, and other characteristics. This list of tasks is
ILLUSTRATIVE ONLY, and is not a comprehensive listing of all functions and tasks performed by
positions in this class.)
Tasks:
Responds to questions from the public in person and over the phone regarding the status of court
cases; provides information; compiles information and prepares court forms and documents including
defaults warrants, summons as orders of protection, injunctions prohibiting harassment, abstracts,
minute entries, and marriage licenses according to standard operating procedures.
Maintains and monitors the Court calendar providing weekly schedules to the Court, defendants and
the Town Prosecutor; prepares copies of citations and court documents as requested by the Town
Prosecutor prior to each defendant's scheduled court date; enters information from citations received
by the Court into the computer, prepares letters to defendants informing them when court dates are
rescheduled.
Prepares memos to police officers regarding changes on citations; initiates and maintains case folders
on defendants; receives sanctions money providing change and receipts; completes daily deposit
forms for money received by the Court, depositing at the bank after counting and verifying the
correctness of deposit.
Assists citizens in filling out paperwork needed for petitions and orders; assists co-workers in
performing daily court duties; and performs other related, similar or logical duties as assigned or
required.

KnowledQe. Skills. and Other Characteristics:
Knowledge of general bookkeeping principles and practices.
Knowledge of general office procedures.
Knowledge of basic court and legal terminology and procedures.
Knowledge of basic filing systems.
Skill in operating office equipment including a Personal computer, copy, and fax machines.
Skill in establishing and maintaining working relations with the general public, defendants, attorneys,
Court officials, law enforcement agencies and Town staff.
Skill in customer relations and in dealing with people under duress.
Skill in multiple-tasking and prioritizing work assignments.
Skill in learning and following complex and detailed office procedures and instructions.
Ability to meet attendance schedule with dependability and consistency.
Qualifications: Graduation from a high school or GED and three years of full-time general office
experience including at least one year in a court or law enforcement environment, or any combination of
education, training and experience that provides the desired knowledge, skills and other characteristics.

Special Reauirements: Bi-lingual in the preferable for one or more positions in the court. Possession of
a valid driver's license when required for job-related duties.
Workina Conditions: Work is performed in normal office setting and court room setting. Noise level is
moderate, primarily from office machines. The physical demands described here are representative of
those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is frequently required to sit and talk or hear, use
hands to finger, handle, feel or operate objects, tools, or controls; and reach with hands and arms. The

have risk of injury from violent or short-tempered people.
